How We Use Your Information
The information we collect from you is used to provide you with the best possible experience when using ReviewHive. This includes:
- Improving the platform: We use your usage information to continually improve the features and functionality of ReviewHive.
- Providing support: We use your personal information to provide you with support and to address any issues you may have with the platform.
- Sending notifications: We may use your email address to send you notifications about important updates to ReviewHive, or to notify you of any important changes to this Privacy Policy.
AI Analysis of Your Reviews
ReviewHive includes an AI Analyst. When you connect a review source, the review text and star rating we import on your behalf are sent to OpenAI so they can be analyzed: a short summary, the sentiment of the writing, the topics the customer raises, how urgent a reply is, and your Business Health Radar scores if you have set one up. This runs automatically over your complete review history and over every new or edited review as it arrives.
A few specifics worth stating plainly:
- What is sent: the review’s text, its star rating, its platform and its date, plus your business name and your radar dimensions where you have configured them. We do not send reviewer names, reviewer profile links, your customer records, or anything about your team.
- What is stored: the analysis is written back onto the review in your workspace and stays there. We also store a short cached summary for your dashboard and reports. Separately, we store a description of your writing style derived from replies your team has already approved and published.
- Training: OpenAI does not use data submitted through their API to train their models.
- Publishing: nothing is ever posted to a review platform without someone on your team reading the draft and explicitly approving it. There is no automatic replying.
- Inferences we do not make: we do not infer or record a reviewer’s age, gender, ethnicity, health, personality or whether their review is genuine.
The AI Analyst is on by default. An Owner or Admin can turn it off at any time in AI Studio, which stops all further analysis while keeping what has already been produced. There is a separate action in the same place to permanently erase everything derived: every summary, sentiment reading, topic, urgency assessment, radar score, cached report commentary, and the learned writing style. Your reviews and your own settings are not affected by that erasure. Both controls apply to the whole workspace.
Sharing Your Information
We will not share your personal information with third parties, except in the following circumstances: Service providers: we use OpenAI to analyze review text and to draft replies, as described above, and Stripe to process payments. With your consent: We may share your information with third parties if you have given us your explicit consent to do so. Legal requirements: We may be required to share your information in response to a legal request, such as a subpoena or court order. To protect our rights: We may share your information to protect our rights, property, or safety, or the rights, property, or safety of our users or others.
Data Security
We take reasonable steps to protect your personal information from unauthorized access, use, or disclosure. However, no method of data transmission over the Internet is 100% secure, and we cannot guarantee the security of your information.
Your Choices
You have the right to access, update, or delete the personal information that you have provided to us. You can do this by contacting us here.
